Job Description

Job Summary:

We are seeking a highly organized and detail-oriented Administrative Assistant to support the day-to-day operations of our office. The ideal candidate will provide administrative and clerical support to ensure efficient workflow, assist in scheduling and communication, and maintain a productive work environment. This role requires excellent multitasking skills, strong communication abilities, and a professional attitude.


Key Responsibilities:

  • Office Support
    Manage and organize office files, documents, and records (digital and physical)
    Handle incoming and outgoing correspondence, including emails, phone calls, and mail

  • Scheduling & Coordination
    Schedule and coordinate meetings, appointments, and travel arrangements
    Maintain calendars and ensure timely reminders for team members and executives

  • Clerical Duties
    Prepare reports, presentations, and data summaries as needed
    Perform data entry, proofreading, and general documentation tasks

  • Customer Service & Communication
    Greet and assist visitors, clients, and employees in a professional manner
    Act as a point of contact between departments and external parties

  • Supplies & Equipment
    Monitor and manage office supply inventory and place orders as necessary
    Coordinate maintenance of office equipment and facilities

  • Support for Projects & Events
    Assist with the planning and execution of company events, meetings, or initiatives
    Support project teams with documentation, logistics, and communication


Qualifications:

  • High school diploma or equivalent (required); Associate’s or Bachelor’s degree in Business Administration or related field (preferred)
  • 1–3 years of administrative or office support experience

Preferred Skills:

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) or Google Workspace
  • Strong written and verbal communication skills
  • Exceptional time management, organization, and attention to detail
  • Ability to handle sensitive information with confidentiality
  • Professional demeanor and a customer-service mindset

Requirements

Education:

  • High school diploma or equivalent (required)
  • Associate’s or Bachelor’s degree in Business Administration, Office Management, or a related field (preferred)

Experience:

  • 1–3 years of experience in an administrative, clerical, or office support role
  • Experience in a fast-paced office environment is a plus

Technical Skills:

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) or Google Workspace (Docs, Sheets, Calendar)
  • Familiarity with office equipment such as printers, copiers, scanners, and phone systems
  • Experience with calendar and email management tools
  • Knowledge of basic filing systems and data entry procedures
